IPC Application Tracking - Guidance Notes

Introduction

This page explains how to use the IPC Application Tool tool, which contains daily updated data about IPC Applications made to the University of York for the current, and previous, cycles.

The Application Summary tool forms part of the Application Dashboard suite of Tableau workbooks.


This Workbook has been newly created to support IPC Pre-Sessional recruitment for the 2020 cycle

Details of the workbook can be found below.


Overview

The IPC Application Tracking Workbook serves two main purposes.

1) To display daily snapshot data of IPC Pre-Sessional application, offers, withdrawals and TAP Status'

2) To allow a comparison of this snapshot data to equivalent snapshots in previous years.

To facilitate this the workbook updates weekly early on a Monday morning

How to Use this Workbook

The Workbook has three separate tabs, IPC EL Pre-sessional Numbers, IPC EL Pre-Sessional Domiciles and IPC EL Pre-sessional Intake Summary

As the IPC EL Pre-sessional Numbers and IPC EL Pre-Sessional Domiciles tabs work similarly they have been grouped together below.


IPC EL Pre-sessional Tabs

By default these tabs show the most recent snapshot date.

The IPC EL Pre-Sessional Domiciles only displays a single measure (Applications, Conditional offers, Unconditional offers, Tap and Withdrawn) at a time due to displaying all domiciles of applicants relating to that measure. As such this tab contains a Choose Measure Filter that does not exist on the IPC EL Pre-sessional Numbers Tab.

How to use the Data Filters and Display Options

Filter

Calendar Year of EnrolAllows the data displayed to be filtered by the calendar year of entry for which the application applies

Programme

Note that there may be courses listed here that look live (as they have exiting students on them), but are not live in terms of taking new applications.

Tip: you can search the filter by programme names (click on the drop-down and enter search criteria above the resulting list).

Applicant Category

  • All

  • E

  • H

  • O

  • HCI

Prior to 2018/19 cycle, applicant category was not split by H and E, so if you are running a comparison with years previous to 2018/9, be aware you are not comparing like for like.

Please note that you will need to combine H and EU to see where you are placed in relation to your UGH target.

HCI = Home Channel Islands.

Application Cycle Type (App Cycle Type)

  • All

  • Deferred from previous year

  • In-year (PG only)

  • Standard

Defaults to ‘All’.

Standard = all applications made within the application cycle (e.g. for 2020/1 entrants, the application cycle runs from 1st October 2019 to 30 September 2020).

Deferred from previous year = applications that were made prior to the start of the application cycle for the given academic year of entry (e.g. applications made for 2020/1 prior to 1st October 2019 are considered "deferred")

In-year (PG only) = applications that were made after the end of the application cycle for the given academic year of entry (e.g. applications made for 2020/1 later than 30 September 2020 are considered "in-cycle")


Online Flag

Defaults to Online Courses

Allows the selection of courses taught on Campus or courses taught online

Entry System

  • Standalone Applicant

  • York Offer Holder

Defaults to All

Allows the selection of those students who have applied to IPC courses as Standalone applicants or who have applied through the standard channels

Weekly Snapshot Date

Only available on the IPC EL Pre-sessional Numbers and IPC EL Pre-Sessional Domiciles Tabs.

Allows the data displayed to be filtered by Weekly Snapshot Date

Choose Measure

  • Applications

Only available on the IPC EL Pre-Sessional Domiciles Tabs.
Day and Month

Only available on the IPC EL Pre-sessional Intake Summary Tab

In connection with the Calendar year of entry the Day and Month selector creates the comparison date that allows year on year comparison.

Main scheme - describes any application that comes in before UCAS Extra starts. 

RPA - a ‘record of prior acceptance’ describes students haven’t applied via UCAS. We notify UCAS and the student immediately shows as UF on our systems.

Split by Programme

Allows the data being displayed to be split by programme


Remember to check the text summary of the filters you have selected to ensure you have the data you require.
