Programme Bookings and Arrangements
Trips and classes
CGP will organise the short course based on the outline timetable which you have agreed with the designated Programme Manager.
We will also make the accommodation arrangements for your students, whether they are staying in University of York campus accommodation, a hotel or with local host families. You can find out more about the student accommodation options on this website here.
Student website
Six weeks before the start of the programme, the Programme Manager will send a link to the dedicated student web page, which we create for each partner university. The web page gives students (and parents) information on the following:

Pre-arrival information
Before the students arrive in York for their programme, the Programme Administrator will send the students a number of documents with important information regarding their stay in the UK. It is highly recommended that the students read these documents carefully prior to their arrival. It might also be a good idea to remind them of this in any pre-departure workshop or to go through some of the information with them, if possible.
Please note that the documents below are examples only and your programme may have slight differences.
The Programme Manager will send the students a one-month and one-week email with the link to the student's webpage and it will include a link to the pre-course questionnaire which we ask all groups to complete before they arrive in York. The pre-course questionnaire allows us to find out more about the students' language level, interests, and expectations so that we can appropriately plan the course.
Meet and greet
When the student group arrives at the University of York (whether they are living with a family or on campus) they will be met by a member of staff from CGP.
Campus - If the group is staying on campus they will be dropped off outside the relevant accommodation block and be given a student welcome pack and keys to the accommodation block and their individual room. The member of staff will wait while the students check their rooms and answer any questions/help with any problems they may have.
Homestay - If the group is staying with host families they will be dropped off at Derwent College Reception on the University of York campus. The host families will come to reception and the member of staff will introduce each student to their new host family. The families will bring the students to university the next day and also collect them after classes on the first day to make sure the students know how to travel between the host family home and campus.
External Provider - If the group is staying with an external provider such as a hotel, arrangements can be made for a member of CGP staff to bring the students to the relevant location and to help them check in.
If the partner university would like CGP to send a member of staff to the airport to meet the student group we can arrange this. We can also send a member of staff to the airport with the student group for their departure to help the group check in. For more information on this, see Arrival/departure Information.
Programme bookings
The programme timetable is arranged by the Programme Manager and then any bookings, including trips, meals and classroom bookings etc, are arranged by the Administrator for the programme. CGP also employs Student Social Coordinators whose role is to spend time with the student group and arrange social activities so the students can integrate more fully into life at the University of York and with York students.
Farewell
At the end of the programme CGP holds a farewell party. If the students are living with host families, the party is a 2-hour event held on one of the evenings in the last week of the programme. If the student is living on campus, it will be held on a lunchtime during the last week of the programme. The farewell party is an opportunity for students to receive a certificate and photo, for them to thank their tutors and host families (if applicable) and also to socialise and enjoy something to eat and drink. Often students choose to showcase something of their own culture, either by performing a song or dance or similar.
End of course report
Approximately 6 weeks after the student group has returned home, CGP will send a copy of the programme report to the partner university. The report contains information on what the students did during their programme and also assessment and grading details for each individual student. The report is sent in electronic format. A hard copy of the report can be sent, at your request.
